Flood Control District - The Board of Supervisors will resolve into the Board of Directors of the Yavapai County Flood Control District, and following consideration of this item will reconvene as the Board of Supervisors – Approve Change Order #1 to a contract with Civiltec Engineering, Inc. in the total amount of $20,065.00 for additional utility locating work as part of the Ho Kay Gan Area Drainage Master Study and Improvements, Yavapai County, AZ; Project #FC0176. (District 4, Supervisor Brown)
Brief Explanation of Need
This Change Order #1 addresses a change in contract scope due to an increase in number of utility conflicts with proposed underground drainage improvements in the Ho Kay Gan subdivision northwest of Prescott.

Utility location and potholing amount included in the original scope and contract for the storm drain design was $14,375.00. Upon completing 50% design plans and identifying specific conflict locations for the proposed storm drain, it has been determined that there are many more conflicting locations between the storm drain and utilities than originally planned, and a quote was obtained for the necessary utility potholing. Quotes for all necessary mainline utility conflict points totaled $34,440 for the Ho Kay Gan storm drain alignment and proposed improvements at Burnt Ranch Road low water crossing ($32,100 + $2,340, respectively, see attached Cardno quotes). Subtracting the original scoped amount for this work leaves a proposed change order amount of $20,065.

The additional cost for the change order will be split between the Flood Control District ($10,065.00) and Public Works ($10,000.00).

Funding for this contract is included in the FY 16/17 Budget under the District’s Outside Services line item and the change order is to be partially funded through HURF via Public Works reimbursement to the Flood Control District ($10,000.00) from account 0201070230 77001 CR0003, with the remainder from District funds ($10,065.00).
